Job Description

The Sr. Administrative Assistant

The Sr. Administrative Assistant will Provide overall administrative support for assigned functions, and for other components of our client's divisions and its related entities as directed from time to time by the Deputy Executive Director.  This is a non supervisory, non exempt position.

Job Requirements

Experience
  • At least one (1) year of experience providing executive level administrative support.
  • Preference given to candidates with experience in web-based and face to face meeting preparation, meeting coordination, preparation of scientific minutes, creation of PP presentation, scheduling travel, maintaining an executive’s calendar. Proficiency in MS Word, Power Point and Excel required.  Limited travel (when reopened) may be required.

Education
  • A Bachelor’s degree preferred from an accredited college or university is preferred.  Will consider candidates with administrative work experience.

Responsibilities
  • Administrative support to functions performed by the Deputy Executive Director  
  • Maintain Deputy Executive Director’s calendars; schedule and confirm appointments
  • Prepare agendas and material necessary for meetings
  • Schedule calls, distribute outlook invitations, coordinate webcast meetings
  • Prepare and distribute meeting minutes
  • Prepare PowerPoint slides
  • Coordinate and schedule travel arrangements
  • Prepare expense reports
  • Draft and compose routine correspondence
  • Handle administrative projects for the assigned functions
  • Prepare miscellaneous reports and correspondence
  • Prepare mailing and shipping labels
  • Prepare and maintain files for assigned functions
    • Administrative support to staff. 
    • Assist in preparation and attendance at key meetings
  • Participate in activities associated with follow up with contacts from key meetings
  • Performs other miscellaneous duties as assigned
