Job Description

  1. Summary
The division of Information Technology Services is currently seeking a talented individual to fill the role of AV Project Manager. The Project manager role is to lead, oversee and ensure the successful delivery and management of single or multiple projects within scope, quality, time and cost constraints that may be clearly defined or may require dynamic change management in order to deliver business value.
  1. Qualifications
  • Bachelor's or master's degree in computer science, information systems or related field; project management and/or general business management, or equivalent related IT experience. PM training and certification desirable, but not required. This role is responsible for managing multi-disciplinary project teams and hold team members accountable to deliver results within an agreed project governance structure to ensure customer satisfaction throughout the life of the program. Our range of solutions and services combine the physical and virtual meeting space to make classes and meetings as simple and as seamless as possible. Building and integrating collaboration technology requires knowledge, experience, and vision.  In this role you will be the face of the teams and responsible for addressing audio visual, networking, connectivity, and security solution support.  You will ensure transparency across ITS and the university. Additionally, you'll ensure compliance with enterprise technology policies, coordinate project requests, and deliver on operational tasks.
  • Five or more years of IT experience, with sensitivity and commitment to business problem solving
  • Three or more years of business unit (BU) or BU-facing experience, with sensitivity and commitment to business problem solving
  • Demonstrated understanding of engineering drawings and blueprints.
  • Demonstrated project management experience in organizing, planning and executing large-scale projects from conception through implementation.
  • Demonstrated experience as a Project Manager in the construction or technology industries preferred
  • Experience managing large, multi-phase projects preferred
  • Commercially astute with a good understanding of AV service contracts or comparable IT Networking experience
  • Good working knowledge in all AV, Networking and Security disciplines
  • Experience with Microsoft Teams room systems
  • Demonstrated experience in leading and managing cross functional and technical teams
  • Demonstrated experience and ability in successfully utilizing "soft skills" or "people skills"
Knowledge and Skills
  • Ability to lead and motivate others; demonstrating empathy and knowledge of personality types
  • Demonstrated application of project management methodologies (for example, PMI and agile)
  • Demonstrated sensitivity to working in a political environment and to interacting with senior leadership
  • Demonstrated application of project planning tools including Microsoft Project and Jira
  • Exceptional verbal and written communication skills; expertise in setting and managing customer expectations
  • Distinctive blend of business, IT, financial and communication skills, as this is a highly visible position with substantial impact
  • Effective influencing and negotiating skills in an environment where this role may not directly control resources
  • Effective remote team management skills
  • Strong knowledge and understanding of business needs, with the ability to establish and maintain a high level of customer trust and confidence
  • Demonstrated success in partnering with functional project manager.
  • Good understanding of current and emerging technologies and how other enterprises are employing them to drive digital business
  • Demonstrated ability to develop and execute a project resource plan that ensures that the right people are in the right place doing the right things at the right time
  • Effective escalation of issues with recommended solutions.

  1. Key Responsibilities & Accountabilities
ResponsibilityPercent of Time
  • Create, maintain and direct the tasks on the project plan for the implementation of AV systems in classrooms, collaboration spaces, event spaces, and offices.
  • Analyze project proposals to determine time frame, funding limitations and appropriate process for accomplishing projects.
  • Identify and schedule project deliverables, milestones and required activities and tasks.
  • Ensure project is delivered on-time and on-budget
  • Present at Executive and Steering Committee meetings as needed.
  • Read and understand documents for each assigned project including, but not limited to: project scopes of work, bid drawings and specifications, contract, subcontractor scopes of work, and construction schedules
  • Obtain quotes from qualified subcontractors as necessary
  • Facilitate internal project kick-off meetings that include key participants ITS and Facilities
  • Create and manage intake process for Facilities, Networking, and Telcom projects
  • Point of contact for all internal and external project communication and documentation for the life of the project
  • Understand AV system functionality and installation processes and techniques
  • Provide leadership and motivation to project team members throughout the project life cycle and confer with project staff to outline work plan.
  • Establish work plan and staffing for project activities, iterations, or phases, and arrange for recruitment or assignment of project personnel.
  • Ensure project activities are completed on-time
  • Implement project communication and training plan.
  • Perform risk assessment and implement mitigation plans.
  • Monitor project activities, ensuring the currency, quality, and integrity of the information, while providing consistency in content and "look and feel" across the enterprise.
  • Follow the ITS Project Management Methodology
  • Ensure that project goals are accomplished and in line with business objectives.
  • Assign duties, responsibilities, and scope of authority to project personnel.
  • Direct and coordinate activities of project personnel to ensure project progresses on schedule and within budget..
  • Provide weekly job progress reports to all internal and external stakeholders
  • Acquire daily site progress reports from lead technicians and respond to needs identified
  •  Facilitate ordering of materials for projects
  • Coordinate equipment distribution and shipping to meet project timelines
  • Ensure clients receive appropriate training on all installed systems
  • Create and maintain all project related documentation in accordance with company guidelines
  • Establish standards and procedures for project reporting and documentation.
  • Continuously benchmark project management performance to identify improvements and achieve higher capability maturity in PPM
