Job Description
The Payroll Administrator is responsible for the accurate and timely processing of the firm’s domestic and international payroll. This hands-on role ensures compliance with all applicable regulations and internal controls while identifying and implementing process improvements in collaboration with the Payroll Manager and Director. The position also provides ongoing quality assurance throughout the payroll cycle.
Key Responsibilities

Payroll Processing: Accurately process biweekly, semi-monthly, partner, and international payrolls in accordance with firm policies and legal requirements.

Compliance & Knowledge: Maintain a thorough understanding of payroll systems, accounting practices, and Federal/State wage and hour laws.

Reporting & Data Management: Generate, review, and prepare reports from the firm’s Time Tracking System and other payroll applications.

Change Management: Ensure all payroll changes are properly authorized, documented, and processed accurately.

Data Imports: Upload and validate payroll-related imports from multiple departments.

Tax Support: Assist the Payroll Manager in collecting and reconciling quarterly and annual payroll tax reports.

Data Requests: Provide accurate payroll data and reports for audits, surveys, and management inquiries using systems such as Workday, Expert, Dayforce, Excel, ADP, and other applications.

Employee Support: Respond promptly and professionally to employee payroll inquiries.

System Expertise: Stay current with reporting and functionality updates in all payroll-related systems.

Fringe Benefits: Process monthly taxable fringe benefits such as moving expenses and tuition forgiveness in coordination with the financial analyst.

Financial Reconciliation: Assist the Finance Department with payroll account and bank statement reconciliations.

Team Collaboration: Partner with team members to ensure effective task management, including cross-training for backup coverage.
Qualifications -
Bachelor’s degree or equivalent experience.

Minimum of 2 years of payroll experience with a solid understanding of payroll and accounting systems.

Experience in a law firm or professional services environment is preferred.

Strong initiative with the ability to prioritize and manage multiple tasks in a fast-paced environment.

Excellent organizational skills and attention to detail.

Proven ability to work collaboratively and build strong relationships across all levels of the firm.

Flexible and adaptable to evolving business needs and priorities.

High degree of professionalism and discretion with confidential information.

Strong written and verbal communication skills.

Advanced proficiency in Microsoft Excel and experience with reporting tools or query systems.

Highly skilled in Microsoft Office Suite.

Working knowledge of general ledger and accounting principles.
