Job Description: Senior Administrative Assistant
$20/hr depending on experience
Summary:
The Senior Administrative Assistant plays a vital role in providing comprehensive administrative support for designated functions within the organization and its affiliated entities, under the guidance of the Director. This position focuses on executing high-priority tasks and projects within specified timelines. It is a non-supervisory, non-exempt role.
Responsibilities:
- Manage the calendars of the Deputy Executive Director, scheduling and confirming appointments.
- Prepare meeting agendas and necessary materials.
- Coordinate calls, distribute Outlook invitations, and organize webcast meetings.
- Compile and distribute meeting minutes.
- Create and edit PowerPoint presentations.
- Arrange and coordinate travel plans.
- Prepare and process expense reports.
- Draft routine correspondence.
- Undertake administrative projects for designated functions.
- Generate various reports and correspondence.
- Handle the preparation of mailing and shipping labels.
- Establish and maintain files pertinent to assigned functions.
- Provide administrative assistance to staff in other departments as directed.
- Assist in the preparation for and attendance at significant meetings.
- Engage in follow-up activities with contacts made during key meetings.
- Perform additional miscellaneous duties as assigned.
Experience:
- Minimum of one (1) year of experience providing executive-level administrative support.
- Proficient in scheduling web-based and face-to-face meetings, preparing scientific minutes, creating PowerPoint presentations, scheduling travel, and managing an executive's calendar.
- Proficiency in MS Word, PowerPoint, and Excel is essential.
- Familiarity with medical terminology is advantageous.
Education:
- A Bachelor’s degree or equivalent work experience and/or relevant professional experience.
